A Certificate of Analysis is useful only when it can be associated with the exact material being evaluated. Traceability is the documented chain connecting a physical unit to its product configuration, batch or lot, analytical record and issuing source.
The minimum traceability chain

A practical verification workflow
- Start with the physical unit. Record the material name, labelled configuration and batch or lot exactly as shown.
- Open the matching catalogue variant. Confirm that market, strength and package correspond to the supplied unit.
- Follow the variant-specific COA link. Do not rely on a certificate attached only to the general product name when several strengths or batches exist.
- Compare identifiers. Match the batch, sample or report identifier across the label, public record and original certificate.
- Identify the report source. Distinguish a supplier-provided certificate from analysis commissioned by the reseller or an independent third party.
- Keep methods separate from conclusions. Identity, chromatographic purity and quantitative content are different claims and may require different procedures.
- Record unresolved gaps. Missing identifiers are not evidence of a match. Treat the association as incomplete until the discrepancy is resolved.
Why variant-level records matter
A product name can cover multiple concentrations, package quantities, markets and batches. A general product-level document may therefore be ambiguous. A defensible public record should resolve to the exact variant and display the applicable batch metadata where it has been published.
Common breaks in the chain
- A certificate shows the product name but no batch or sample identifier.
- The label and report use different lot numbers without a documented reconciliation.
- A certificate for one concentration is presented on every variant.
- The report is available only as a cropped image with no original source.
- A manufacturer certificate is described as independently commissioned testing.
- A purity percentage is presented without the method or chromatogram that produced it.
- An older report remains attached after inventory changes to a new batch.
What to preserve in a laboratory record
Retain the original certificate, the public record URL, the date accessed, the exact product and variant, the batch or lot from the label, and any correspondence used to resolve discrepancies. If a report is corrected or replaced, preserve the superseded version and document why the change occurred.
